General Questions

1. Why should we use League Builder?
It’s a better way to run a league. It offers advantages to league organizers, players and coaches.

Builder allows registration via the Internet for a date range selected by the league. No more missed registrations times by players or volunteers!

League Builder improves communication between leagues, coaches, and players electronically –reducing paper and mailings costs. The league can e-mail coaches and players, post schedules and distribute rosters electronically.

League Builder’s proprietary software creates fair and balanced teams thereby enhancing the playing experience for all. Yet it allows trading and team modifications by administrators, if desired.

League Builder helps leagues attract participants, improve enrollment and increase sponsorship.

League Builder offers secure credit card processing and password protection for player and league information. Eliminate processing of hundreds of checks.

League Builder helps you promote your tournaments and events with members who are interested in receiving electronic notification.

2. How does a league or tournament join League Builder?

Joining the League Builder system is Free! The League organizer must contact League Builder to establish a User ID and password. Select “Contact Us” to request these. Once you have an ID and password simply log in on the homepage. You will be prompted to answer some simple questions to define the parameters of your league. That’s it– the league is set up and ready to receive registrants.

3.I like League Builder, but do not want to lose control of my league, teams and players.

In fact, League Builder gives you more control. You select the functions you want League Builder to manage - from registration to scheduling to team building. Don’t like our teams or schedules? You are free to modify them or create your own. Freely and easily communicate with all your coaches, volunteers and players through group e-mail. Eliminate hours of phone calls updating everyone, giving everyone more time to devote to the important things; improving your program, increasing enrollment and having fun.

4. Who has the ability to change data?
The League Administrator defines which administrators or coaches have the ability to enter, edit or delete non-personal information, i.e. ranking and game statistics. The League Administrator also determines how much information access to give coaches or division administrators. Each level of administration is password protected for players and league security.

Pricing and Payment

1. How much does it cost?
League Builder charges a nominal fee for each registration. The fees, which include the cost of credit card processing, are under $6 per registrant.

2. How does my league receive registration fees?
We have established a choice of methods. When setting up the league, the League Administrator will be prompted to enter a fee schedule, including customized family discount programs, if desired. When registering, the player pays League Builder the league’s fee plus a nominal processing fee via credit card. League Builder remits the registration fee minus League Builder’s processing fee to the league on the 15th and the 30th of each month. Payment can be in the form of a check or an electronic direct deposit into the league’s bank account. A detailed statement of registrations for that month is sent to the league for reconciliation.

Entering the registration data via the Internet and paying the league directly by check is also an option. However, the league will still be responsible for League Builder’s processing fees for registrants who pay by check.

3. We have players who do not want to pay by credit card, what other payment options do they have with League Builder?
League Builder offers those registrants who choose not to pay with a credit card, the option of registering on-line and then sending a check directly to you. A receipt is printed out to include with their payment. Our statements to you will indicate who is remitting by check so the league can reconcile its accounts.

4. How does League Builder keep track of payments received and not received?
When a player is registering, s/he will be prompted for payment. If a credit card payment is processed, the League Builder system records that payment. If the player elects to pay the league directly by check, the system will record that selection and indicate payment was not made. When the league receives the check, the league administrator may change the player’s payment status to “paid” directly in League Builder. It is solely the responsibility of the Payer to forward the alternate payment to the league.

5. I haven’t received the league’s check or electronic deposit. How can I follow-up on payment to the league?
League Builder remits payments to the league on the 15th and 30th of each month. If these dates have passed and no check was received, and you are expecting a remittance then please contact our Customer Support via e-mail or phone and we will process your request right away.

6. How does League Builder handle refunds?
Each league is responsible for providing the necessary refunds to their registrants.

Setting Up Your League

1. What does a League Administrator do?
A League Administrator is the person authorized to customize the league’s settings and has the ability to tailor the information the league requires for an individual’s registration. Each league must select at least one individual to be their League Administrator. This person is responsible for creating the league online and setting the preferences for fees, necessary registration information, team creation and scheduling. The administrator also determines how much online league access to give coaches or division administrators. Each level of administration is password protected for the player’s and the league’s security.

2. How does a league designate a League Administrator?
Currently, you must contact us via phone or e-mail and we will create your League Administrator ID and password. We anticipate automating this in the near future.

3. Can I customize my league information?
Yes. A League Administrator, the person authorized to customize the league’s settings, has the ability to tailor the information the league requires for an individual’s registration. In addition the League Administrator can customize other features such as division, age ranges/cut offs, waivers, enrollment size and dates. Additionally, the League Administrator can write a description of the league’s mission statement, competitiveness and any other information the league would like its participants to know.

4. I am having trouble entering data.
Each league assigns a League Administrator. If you are not a league administrator you may not be authorized to enter or edit league information. Coaches and Division Administrators have different levels of access than the League Administrator.

The League Administrator has regular access to enrollment, fees collected, and fees to be paid. The League Administrator can generate on-line reports to assist in the management of the league’s operation. This function is found in the league administration Control Panel area.

2. Can League Builder accommodate tournament registration?
Yes. At this time League Builder is available for tournaments and other events.

3. How does the League Administrator add/edit/modify Players?
The League Administrator may only change non-personal sporting information. The League Administrator may only add a player and change personal information if a written application was received by the league and the player has not already created an account directly through League Builder. This function is found in the league Control Panel area.

4. How does League Builder handle registering twins/multiples?
Children from the same account registering for the same division will automatically be put on the same team.

Team Builder

1. How can League Builder help me build teams?
League Builder has developed a Team Builder module to auto generate team rosters with the click of a button. The teams will be unbiased and fairly balanced based upon the player rankings that the league personnel input into the database. This function is found in the league administration Control Panel area.

Yes. If you are not satisfied with the teams created by Team Builder, or have to trade players for any reason, the Division Administrator or League Administrator can edit the teams and trade players as necessary. Team Builder will let you know if the teams you created are still fair and balanced and alert you if they are not.

2. Do I have to use the Team Builder Module?
No. This is an option offered by the League Builder system. It is there for your use if you choose.

3. How do we rank our players?
Ranks will not be visible to players and will be used to create evenly matched teams. This function is found in the league administration Control Panel area.

Schedule Builder

1. Can League Builder create my League schedules for me?
Yes, using our Schedule Builder Module. League Builder can auto generate team schedules based on field and time parameters you select. This function is found in the league administration Control Panel area.

2. How does the Schedule Builder work?
Simply answer the questions we ask regarding game duration, number of fields, game dates, number of teams and League Builder does the rest. Voila! In seconds you have your league schedule.

Communication

1. How does the league advise players and parents to sign up?
We currently recommend a league use its standard notification processes for the first season with League Builder. In subsequent seasons, League Builder can assist in registration notification to players and parents through e-mail alerts.

2. Does League Builder e-mail schedules to all registrants?
Yes, if you would like us to. League Builder distributes schedules via email. Coaches or administrators have the ability to e-mail schedules. The e-mail function is found in the league administration Control Panel area.

3. How I do promote an event or tournament to League Builder subscribers?
There are two ways to accomplish this:

League Builder can send e-mails to all members who indicated interest in hearing about local clinics, tournaments, or events. You select the sport, the geographic area, and the age range. League Builder does the rest.

You can search for other leagues that have already registered with League Builder. Each league assigns a contact person and their phone number and/or email address. You may contact these listed individuals to promote your event, solicit enrollment, and correspond about best practices.

Sponsors and Volunteers

1. What about Sponsors, Coaches, Volunteers, Umpires and Referees? Can League Builder keep track of these people as well?
Yes. We recommend that you direct your volunteer to create an account within League Builder. Through this process, they will be prompted to select a member type, which includes coach, sponsor, umpire, referee, or volunteer. A person who wants to sign up for one or more of these areas simply selects the position for which they wish to volunteer.

2. What types of volunteer positions are available in the League Builder system?
We have a suggested list to choose from, including picnic helpers, field set-up and clean up; or a League Administrator can designate other volunteer types when defining their league.

3. How can a corporation or company sponsor a team/league?
A sponsor does not have to have an account with League Builder. Simply do a search for the league you wish to sponsor, and click on the “Sponsor this League” button. Complete the necessary information and the fees will be added to the checkout cart.
